Most underpriced jobs are not caused by bad math. They are caused by quoting from a gut number that covers materials and wages but forgets overhead, then treating whatever is left as profit. When the truck, insurance, software, phone and office time come out of that leftover, the job that looked like a winner on site quietly turns into a break-even day. Contractors who quote from a photo in the driveway are especially exposed, because the number has to come out fast and there is no spreadsheet open.

This calculator does the same arithmetic a careful estimator does on paper. It adds materials, labor hours times your fully loaded hourly labor cost and any other direct costs, then applies your overhead percentage to get a break-even price. It then divides that break-even figure by one minus your target gross margin, which is the correct way to price for margin. Marking up by the margin percentage instead of dividing is a common mistake, and the tool shows the equivalent markup so you can see the difference. Every constant is an input, so nothing is hidden.

How to use this tool

  1. Enter the materials, labor hours, loaded hourly labor cost and any other direct costs for the job you are quoting.
  2. Set your overhead rate and the gross margin you want to keep on this type of work.
  3. Read the break-even price to know your floor, then quote at or above the price at target margin.

What the math assumes

  • Overhead is applied as a flat percentage of direct job cost; the default of 15% is only a placeholder and you should replace it with your own overhead rate.
  • The quote price is calculated as break-even price divided by (1 minus target margin), so the margin is measured against the sale price, not against cost.
  • Labor cost per hour is assumed to be fully loaded (wages plus payroll taxes, workers comp and benefits), not your billing rate.
  • The tool does not add sales tax to the quote price and does not account for discounts, retainage or payment processing fees.
  • If the target margin is 100% or more the quote price is shown as zero because no finite price can produce that margin.

Frequently asked questions

What is the difference between markup and margin on a trade quote?

Markup is the amount you add on top of cost, expressed as a percentage of cost. Margin is the share of the final price that is profit. A 30% margin requires a 42.9% markup, which is why marking up by the margin figure leaves money on the table.

How do I work out my overhead rate for this calculator?

Add up a year of costs that are not tied to a specific job (vehicle, insurance, rent, software, phone, admin time, marketing) and divide by a year of direct job costs. Multiply by 100 to get the percentage.

Should I quote below the break-even price to win a slow week?

Only if you understand that the job will not cover its share of overhead. Some contractors do it deliberately to keep a crew busy, but it should be a conscious choice, not the result of a quick number given on site.
